Use this in a short team meeting:
"We are using AI to help with dental office work, but patient information, payer details, screenshots, EOBs, claim details, balances, and appointment context cannot go into personal or unapproved AI accounts. When we use an approved practice workflow, we still use the minimum information needed and the right human reviewer before anything is sent, saved, or acted on."

Policy update checklist
- Name approved AI tools and approved workflows.
- List prohibited inputs for personal or unapproved accounts.
- Define which outputs need dentist, billing, manager, owner, or privacy review.
- Add a no-PHI fictional-example rule for training prompts.
- Document what staff should do if the wrong tool is used.

Review-owner matrix
