Team members must use the minimum patient context needed for the task and remove extra identifiers when they do not change the answer.
Before any patient information is used in an AI workflow, the owner or privacy lead must confirm that the tool is approved for practice use and that required business associate or vendor safeguards are in place.
Approved uses include drafting internal scripts, SOPs, huddle notes, onboarding checklists, case follow-up options, claim follow-up questions, patient message drafts, and manager summaries for trained staff review.
AI may not diagnose, change treatment, make final CDT or coding decisions, determine insurance coverage, decide final patient balances, approve write-offs, make HR decisions, or send patient-facing messages without practice approval.
AI output is a draft. The practice must check facts, tone, PHI, channel, policy, clinical boundaries, insurance caveats, and next steps before the output is used.
Scripts, checklists, SOPs, and templates created with AI become practice assets only after manager or owner approval. Approved assets should be saved with an owner, version date, and next review date.
